Challenge yourself, your peers and our industry by shaping what health care looks like and doing your life's best work.(sm) The Senior Administrative Assistant will support the VP of Employee Relations, and will primarily act as a Business Segment Liaison (BSL) and administrative support across the entire Employee Relations team in a manner consistent with the highest levels of performance and professionalism. Administrative Positions in this function include more traditional administrative/clerical support roles including: new hire onboarding, copying, faxing, ordering supplies, greeting visitors, setting up files, tracking expenses, typing/word processing of documents, coordinating building and equipment maintenance, answering the telephone, maintaining calendars and setting up meetings or travel for the VP or Directors upon request. In this role, you will be challenged to provide broad administrative services to support the success of a very busy team. Successful candidates will demonstrate a high level of professionalism, will be able to independently identify and navigate processes and procedures in a complex corporate environment, will appropriately handle highly confidential information, and will effectively develop and leverage relationships at all levels of the organization. Primary Responsibilities:Key administrative support role and team member supporting Employee Relations leadership and team (100 people) in a dynamic and complex environment Independently perform varied administrative duties related to functional areas Interact and establish relationships with individuals at all levels of the organization Evaluate emails, meetings and calls of importance and use independent judgment to take action Greet visiting clients, guests and employees Maintain and/or communicate sensitive and/or confidential information in accordance with internal policies and proceduresPerform Business Segment Liaison (BSL) tasks for onboarding and current needs Enter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendors Manage / monitor / procure office supplies Collaborate with facilities management regarding potential changes/improvements to the office environment Demonstrate understanding of applicable business departments' operations, drivers, and / or procedures Create and prepare meeting materials (e.g. PowerPoint decks; agendas; meeting minutes) and ensure distribution to appropriate individuals in a timely manner Compile and/or integrate information needed to complete reports and documents Review documents to ensure accuracy and quality, and revise as needed Manage office documents in accordance with enterprise records management procedures Prepare and submit expense reports Prioritize meetings to schedule and coordinate respective calendars Schedule, coordinate, and set-up resources and technology needed for meetings, e.g., conference rooms, catering, WebEx, Telepresence Make and coordinate travel arrangements, both domestic and international
