The Administrative Assistant serves as the primary administrative support to the California Cancer Reporting and Epidemiologic Surveillance (CalCARES) program. The role of this position is to provide professional administrative support to the leadership team and general office support for approximately 45-50 employees. This position is responsible for maintaining calendars and meeting schedules, scheduling meetings, and coordinating travel arrangements and reimbursement. The individual will answer main phone lines, research, analyze and compile necessary background information to assist in responding to a wide variety of complex and sensitive issues, assist in the production of presentations, written documents and other materials and, assist with meeting and conference planning including set up, AV needs and catering.REQUIRED-Information technology and computer knowledge and skills to use various programs (word processing, spreadsheets, databases) and software. -Strong working knowledge and application of the Microsoft Office suite of software (i.e., Word, Excel, PowerPoint, etc.).-Excellent interpersonal skills, oral and written communication skills; investigative skills to elicit information needed to clarify inquiries and requests; professional skills to handle sensitive or difficult situations diplomatically; and the ability to work effectively and sensitively with various and diverse individuals and entities.-Strong planning and implementation skills to manage complex projects, to schedule and coordinate large, complex meetings and special events.-Exceptional time management skills.-Ability to managed complex calendars accurately.-Excellent writing, editing, proofreading and typing skills to quickly and accurately produce presentations, reports, correspondence and other materials. PREFERRED-Working knowledge of the University of California Davis Health System (UCDHS) and UCD policies and procedures to interpret issues, and participate in the creation and adaptation of new policies.-Experience working with the UC Davis AggieTravel and Aggie Buy Systems.-Familiar with contract procurement and management, including scope of work development and progress reports. -Knowledge of the State of California contract policies and proceduresSPECIAL REQUIREMENT-Must be able to work variable work schedule as needed.-May be required to travel to support meetings or conferences.-Position requires handling of sensitive and confidential information.-Must be able to move and lift equipment weighing up to 40lbs.-THIS POSITION MAY BE SUBJECT TO A CRIMINAL BACKGROUND INVESTIGATION, DRUG SCREEN, LIVE SCAN FINGERPRINTING, MEDICAL EVALUATION CLEARANCE, AND FUNCTIONAL CAPACITY ASSESSMENT
