The program assistant for Community Health assures that the staff has all necessary materials necessary to do their work. Program assistant assures that all calls are being answered and/or returned, that appointments are scheduled, that all patients that come into our office are attended to in a timely manner. The program assistance is also responsible for gathering daily and monthly reports from staff and turning in weekly and monthly reports by their due date to the program coordinator.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Provides general office and administrative support to program staff
Maintains necessary databases, mailing lists, spreadsheets etc.
Submits materials/supply orders for programs assigned via Strategic Sourcing/Workday as needed
Maintain supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies
Helps track budgets for cost centers assigned
Organize and schedule meetings; take minutes and distribute to groups
Maintains confidentiality of patient/member and staff information; compliant with HIPAA regulations.
Demonstrates proficient written and verbal communication skills.
Demonstrates a sound knowledge base of appropriate departmental and hospital guidelines/policies.
Attends staff meetings and mandatory inservice.
Maintains effective working relationships and open communication with professional staff, coworkers, and community agencies.
Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
Performs other related duties as required.

Regular contact with patients, providers and other members of the clinical and office staff as well as other CCHS departments.

EDUCATION AND EXPERIENCE REQUIREMENTS:
High School Graduate
3 years' experience in a medical office setting preferred
An equivalent combination of education and experience may be substituted.
KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:
Detail oriented and ability to maintain a high level of concentration for extended periods of time
Excellent written and verbal communication skills
Ability to work with and maintain confidential information
Ability to interact effectively with and maintain a constructive working relationship with others
Ability to organize and complete various tasks simultaneously
Ability to display excellent customer service skills
Sitting, standing, walking lifting. Regular duties may require some lifting of boxes up to 25 lbs.
