Job Summary:
Office Coordinator is responsible for performing a variety of administrative and clerical duties that support the Director of Operations, Practice Manager, Physicians and Advanced Practice Providers of the Department of Cardiology.
Responsibilities:
- Coordinate and/or arrange meetings, conference calls and schedule interviews.
- Manage communication and correspondence as well as greeting visitors and maintaining office supplies for the department.
- Work with all internal departments to facilitate smooth flow of information.
- Prepare PowerPoint presentations, word documents, mail merge and excel spreadsheets as requested.
- Facilitate ordering and ticket placement (i.e facilities, IT, purchasing, etc.) as needed for the department.
- Create/print additional reports as needed by leadership team.
- Complete additional special projects as assigned.
- Manage and distribute information and delegate as needed within the cardiology office which includes clerical tasks, answering phones, taking memos, taking and distributing minutes, maintaining files and maintaining calendars/meetings of senior managers.
- Supervision, delegation and training of department administrative assistants as needed
- Obtains prior authorizations for diagnostic testing. Advises patients and clinical staff of problems with insurance authorizations and resubmits requests with additional or revised information.
- Follows up with patients, physicians, clinical and ancillary departments to ensure optimum
delivery of services.Qualifications/Requirements:
Experience:
Minimum two years of experience in a healthcare setting. Ability to organize/prioritize duties. Knowledge of medical terminology and office procedures. Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving.
Education:
High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred.

Must be Proficient in MS Word, MS Excel and MS Outlook. Creative and persistent problem solver. Ability to interact and communicate with individuals at all levels of the organization (internal and external). Strong interpersonal skills to handle sensitive situations and confidential information. Ability to multi -task and prioritize workload in a fast-pace environment.
